Cancellation of an Upcoming Course.

When a Challenger is scheduled for an upcoming course they will not attend, regardless of the reason, the following policies apply. R-Day means Receiving Day, the scheduled arrival date.

Cancellation before R-Day
When participation is cancelledEnrollment credit
90 or more days before R-Day75% of the eligible amount paid
31–89 days before R-Day50% of the eligible amount paid
30 or fewer days before R-DayZero credit

The initial reservation payment is excluded. The percentages above apply only to amounts paid above and beyond that payment. If only the reservation payment has been made, it is forfeited upon cancellation.

Unforeseen Illness Before R-Day.

For cancellation of an upcoming course due to unforeseen illness, 50% credit of the amount paid is available when cancellation is at least three calendar days before R-Day and all of these requirements are met:

  • A written medical order must specifically state that the Challenger is physically incapable of participating in the registered program because of an unforeseen accident or ailment that occurred within the past five days.
  • The medical provider must send the documentation directly to admissions@xmccamp.com. It must be received at least three days before the scheduled R-Day.
  • Documentation submitted by a parent or guardian is not accepted; it must come directly from the medical provider to the Admissions Office.

Cancellation less than three calendar days before R-Day, or failure to submit the required documentation as outlined above, results in zero credit.

Choosing Not to Attend a Follow-on Course.

When a Challenger is already at Camp Liberty and voluntarily chooses not to attend a scheduled follow-on course:

  • 50% credit of the amount paid for the follow-on course applies. For example, a Cadet who graduates from Cadet Basic Training Session 1 (CBT 1) and goes home instead of attending their scheduled Cadet Field Leader Course Session 1 (CFLC 1) receives 50% credit for the transfer.
  • Full credit applies if the Challenger attends a later session of the course, or transfers to another course, during the same Training Mission. For example, a Cadet who graduates from CBT 1, goes home instead of attending CFLC 1 and transfers to CFLC 2 receives full credit for the transfer.
  • No partial credit is granted for a course already underway. For example, a Challenger who leaves at the end of the first week of a course receives no credit for its remaining second week.

Involuntary Medical Departure During Training.

When a Challenger at Camp Liberty is involuntarily medically dropped, as determined by medical staff, 75% prorated credit of the amount paid applies to the remaining full, unused weeks of the current or future courses.

There is no credit for the remaining days of the week in which the Challenger departs. For example, if a Challenger is enrolled for four weeks and is involuntarily sent home for medical reasons on Training Day 3 of the first week, they receive no credit for the remaining days of that week. They receive 75% prorated credit for the three remaining unused weeks.

Disciplinary Dismissal, Refusal to Train or Drop on Request.

A Challenger sent home for disciplinary reasons, who refuses to train, or who voluntarily disenrolls during training as a Drop on Request (DOR) receives zero credit.

Using Enrollment Credit.

  • Credit may be used by the Challenger or a sibling for three camp seasons. It may be applied toward an existing enrollment or a new enrollment for the deferred Challenger.
  • Credit may be transferred to another person or to a family member who is not a sibling. In that case, it may be used only for a new enrollment.

Additional Policies.

Written Requests.

Cancellation and a request for deferment must be submitted in writing to admissions@xmccamp.com. A verbal request is not valid for receiving enrollment credit.

Unscheduled Airport Transportation.

If a Challenger must be taken to the airport on a day other than R-Day or Graduation Review day, a $200 fee covers travel and the two Cadre required to escort an individual minor. This amount is withdrawn from the credit described above or the PX balance, if available. Otherwise, it is charged before transporting the Challenger.

Early Arrival or Extended Stay.

A Challenger who arrives early or remains beyond their scheduled departure is charged $200 per day for lodging, meals and individual oversight. This is in addition to any unscheduled transportation charge above.

Issued Items Following Disciplinary Dismissal.

Challengers involuntarily sent home for disciplinary reasons forfeit any issued military uniforms or XMC emblematic items.

Family Emergencies and Military Deployment.

A death in the immediate family (parent, brother, sister or grandparent), a potentially fatal medical emergency involving an immediate family member, or an unexpected emergency military deployment projected to last six months or longer is addressed case by case upon receipt of validating documentation.

PX (Canteen) Funds.

PX funds must be expended before departure from Camp Liberty. Remaining unexpended funds stay on account for the Challenger’s future use. All funds on account, including remaining PX funds, are automatically applied to any new enrollments.

Zero Refund Policy.

Per the legal contract between Liberty Communications, LLC and the responsible party enrolling a Challenger, there is a long-standing ZERO REFUND policy, with no exceptions.

Authorization and Questions.

Only a corporate officer—COL Land or MAJ Land—may authorize, calculate or deviate from this policy. Any deviation must be in writing to be valid. No promises by any other person are valid.
